Printable Alphabetical Seating Chart — Free PDF, Print-Ready
A printable alphabetical seating chart is a high-resolution file you can take to any printer — your home printer for smaller sizes, or a copy or large-format shop for a full board. Our tool exports a clean PDF with the right resolution, bleed and crop marks already set, with guests sorted A–Z to their table numbers.
This page covers print production — sizes by guest count, resolution, file specs and home-vs-shop. For changing the look, see the template; for the auto-sorting generator, see the maker. For easels and mounting materials, see the seating chart sign cluster.

Guests and table numbers come from your seating chart, so the file is correct and fully sorted before you ever hit export.
Confirm attendance via RSVP first, so you print the final A–Z list once rather than reprinting after every change.
The same export settings apply to the rest of your stationery, so every printed piece comes off the printer at matching quality.
PLANNING . WEDDING — is easy to remember and even easier to use.
How to Get Your Print-Ready File
From finished chart to a file your printer will accept takes about a minute.
- Finish the chart — heading, columns, fonts and colors.
- Choose your size — 18×24, 24×36, A1, A0 or custom.
- Export the PDF — high resolution, with bleed and crop marks.
- Print at home or send to a shop — the same file works for both.

Sizes by Guest Count
An alphabetical chart is sized by how many names must stay readable from a few steps away. The defaults the export uses:
- Up to 80 guests — 18×24 in or A2, 2 columns, generous spacing.
- 80–140 guests — 24×36 in or A1, 3 columns. The most common choice.
- 140–200 guests — A1 at 4 columns, or A0 for breathing room.
- 200+ guests — A0 (33×46 in) or two boards side by side, zoned by letter range.

Print at Home vs Print Shop
Both work from the same PDF — it’s a question of size and finish.
- Home printer — fine up to A3; for a large board, tile the design across sheets and mount it (the export supports tiled printing).
- Local copy / print shop — fast and affordable for a single large poster on matte or satin stock.
- Online large-format service — for foam board, gator board, acrylic or a mounted print delivered ready to display.
File Specs That Print Cleanly
You don’t have to think about any of this — the export handles it — but for the curious:
- Resolution — output stays 300 DPI at your chosen size, sharp even at A0.
- Bleed & crop marks — included by default so trimming never clips a name.
- Color — high-contrast values that hold up in both RGB previews and CMYK print.
Mount & Display
Once printed, mount a large chart on foam or gator board so it stays rigid on an easel; frame smaller sizes.
Place it at the entrance where guests pause, and brief an usher to point people toward the right letter for very large lists. For easel styles and materials, see the seating chart sign cluster.

Why Our Printable Chart Is Free and Foolproof
No sign-up, no watermark, no per-size upsell — one chart exports to any size you need, as many times as you need.
Because the file is generated from your project, it’s always current and correctly sorted. Re-export after a late RSVP in seconds; there’s never a stale, hand-alphabetized version in your downloads folder.
