Printable Wedding Table Numbers — Free PDF, Print-Ready

Printable wedding table numbers are about the file you send to the printer — paper stocks, sheet layouts, the cutting and folding workflow, the holder choice that turns a PDF into a finished number standing on every reception table.

For template design, sizing and customization, see table numbers template. For step-by-step home craft projects, see DIY table numbers. The same printing logic applies to menu cards and place cards — they’re often printed in the same batch.

Card count is the exact number of tables on your seating chart floor plan. No guesswork, no spares ordered.

Coordinate paper and ink with the rest of your wedding day-of stationery — every printed piece in the suite reads as one design.

Print runs alongside place cards and menu cards in the day-of stationery production batch — same printer, same cardstock, same finish.

Cardstock Weight — Why 110lb Is the Sweet Spot

Table numbers need more weight than place cards or escort cards because they’re standing up — either as tent-folds or in a holder — and they need to resist the breeze, the brushed cutlery, and the late-night party energy without folding over.

  • 100 lb cardstock — the lightest weight that holds a tent-fold standing without leaning. Works at indoor venues with no wind. Some home printers struggle with this weight.
  • 110 lb cardstock — the wedding default. Heavy enough for outdoor venues, premium enough to read as professional, light enough that most home printers handle it cleanly.
  • 120 lb+ cardstock — the right choice for very large numbers (5×8 or larger) and for outdoor garden or beach weddings where breeze is a factor. Most home printers can’t handle this; use a print shop.
  • Linen, matte and laid finishes all work; avoid coated stocks, which look flat under venue lighting.

Tent Fold vs Flat With Stand

Two formats dominate. Both work; both look professional; the choice is about your holder budget and your venue’s centerpiece style.

Tent-fold — the card folds in half along a pre-scored center line and stands on its own. No holder needed. Cheapest, fastest, easiest to set up. Best for casual and outdoor weddings; works with low or no centerpieces.

Flat with separate stand — flat card slotted into a wood block, acrylic stand, or picture frame. More premium feel, more flexible (the stand can be reused), more expensive (every table needs a stand). Best for formal and ballroom weddings.

Our template exports either format from the same project — print both for testing and pick the one that looks right at the venue.

Holder Options — Wood, Acrylic, Frames, Easels

If you go with the flat-card-plus-stand format, the holder is the styling decision. Five common options.

  • Wood blocks — inexpensive and warm-looking. Best for rustic, garden and barn weddings. Pair with single-sided cards because the wood obscures the back face.
  • Acrylic stands — minimalist and modern. Work well with double-sided cards because they don’t obscure the back. Versatile across wedding styles.
  • Picture frames (5×7 or 4×6) — vintage and formal. Choose a frame with a simple back that doesn’t hide the printed number.
  • Tabletop easels — clean budget option, work for any size card, almost invisible against the centerpiece.
  • Tent cards (no holder) — cheapest option of all, double-sided by design, perfect for outdoor and casual weddings.

Home Printer Settings

Set paper type to cardstock or heavy, set quality to high or best, and use the manual paper-feed tray (most home printers don’t auto-feed cardstock cleanly).

Print one test card first. Check the alignment, the cut marks, the ink saturation, the legibility from across the room. Once the test prints clean, run the rest of the batch.

Quantity and Spares

Card count is the table count plus a small buffer. Order one extra card per ten tables — paper jams, cardstock with imperfections, and the cat batting one off the counter all happen. The auto-count gives you the exact base number; eyeball the spares yourself based on your printer’s reliability.
