Printable table seating cards are about the file you send to the printer — paper stocks, hole-punch placement, hanging hardware, and the mounting alternatives that turn a PDF into a finished display at the reception entrance.

Important — these are not table number cards. Card count is the exact number of tables on your seating chart floor plan. One per table — no spares needed because each card is unique to its table.

Confirm attendance through RSVP first — only confirmed guests print, so each card lists exactly the people who'll be at that table.

How the Printable PDF Is Built

The PDF that comes out of the export is genuinely print-ready. Specs:

  • 300 DPI resolution, embedded fonts, no font licenses needed by the printer.
  • 3 mm bleed on all sides plus crop marks at the corners.
  • Hole-punch markers at the top centre when tag format is selected.
  • Sheet layouts for US Letter and A4, plus single-card-per-page for premium printing.
  • RGB by default, with a CMYK option for offset-press print shops.

Cardstock Weight for Outdoor Hanging Displays

Hanging table seating cards face conditions place cards never see — they swing in light breeze, they sit in afternoon sun, they hang from twine for several hours. Cardstock weight matters more here than for any other piece of stationery.

  • 80 lb cardstock — too light for any hanging display. Curls in the lightest breeze. Use only for indoor flat-card displays.
  • 100 lb cardstock — the indoor wedding default. Holds a hole-punch cleanly, sits well on twine, doesn't crease in handling. Marginal in outdoor conditions with any wind.
  • 110 lb cardstock — the outdoor default. Heavy enough to hang straight in light wind, holds calligraphy ink cleanly, photographs well.
  • 120 lb+ cardstock — the right choice for outdoor garden weddings with significant wind exposure. Most home printers can't handle this; use a print shop.

Hole-Punch Placement and Hanging Hardware

Most table seating cards use the hanging tag format. The hole and the hardware matter for both the look and the longevity of the display.

  • Hole position — single hole at the top centre, 5 mm diameter, 1 cm from the edge. Our PDF marks the hole position so you punch in the same spot on every card.
  • Wooden clothespins — the most popular hanging hardware. Pair with twine for a rustic look. Affordable, easy to set up.
  • Ribbon ties — silk or velvet ribbon threaded through the punched hole and tied to the support rod. More formal than clothespins; pairs with luxury weddings.
  • Mini hooks or eyelet pins — small metal hooks for cards mounted to a pegboard or wood pallet. Cleaner than clothespins for fixed-grid displays.

Mounting Alternatives — Easel, Frame, Grid

If hanging doesn't suit your venue, three flat-mounting alternatives use the same printed cards.

  • Easel groups — multiple small easels arranged on an entrance table, one card per easel. Reads structured and elegant; works at indoor venues.
  • Frame collection — each card in its own small picture frame, arranged as a gallery wall or a tabletop cluster. Vintage and heritage weddings.
  • Board grid — cards pinned to a foam board, pegboard, or fabric-covered backboard in regular rows. Modern and minimalist; works at gallery and ballroom weddings.

Quantity — One Per Table, No Spares

Card count is the exact number of tables on your floor plan. Unlike place cards or escort cards (where you order spares for typos and late additions), table seating cards don't need spares — each card is unique to its table, and a typo or missing name only affects one card.

If a guest moves tables in the final week, the two affected cards regenerate from the project; you reprint those two and replace them in the display. The other cards stay untouched.

Home Printer Settings

Set paper type to cardstock or heavy, set quality to high or best, and use the manual paper-feed tray (most home printers don't auto-feed cardstock cleanly).

Print one test card first. Check the alignment, the cut marks, the legibility of the longest guest list. Once the test prints clean, run the rest of the batch. Hand-punch the holes in a single sitting using the marker positions on the printout.
